How to Spot the Trends in Your Practice and What to Do Next

Look for shifts in your patient visits to spot trends early. Then, you can design simple fixes that save you time and improve care.

You don’t need to follow every pop-culture trend (my short ankle socks are staying put, thank you very much).

But in your practice, spotting trends matters. When you notice small shifts in patient questions, procedures or referrals, you can make simple changes that save hours of work and create a smoother experience for patients.

Why Look for Trends

Even if you have a fairly defined scope to your practice, no one’s practice is fully stagnant.

New medications, hot topics in the media and procedures with different prep might drive more questions or visits from your patients.

Engaged patients are a very good thing…but if you find yourself repeating the same reassurances or booking the same type of extra visit, that’s a sign.

And doing nothing is going to bog down your practice until you do something about it and adapt. Noticing trends lets you re-engineer your process before inefficiencies pile up.

What to do When You’ve Spotted a Trend

So, you’ve noticed a trend in your practice. Now what?

Educate Your Patients Early

The right education at the right time saves you and your patients from unnecessary visits.

One colleague in primary care noticed a surge in appointments related to GLP-1 side effects. While some visits necessitated medical attention, most patients just needed reassurance or some guidance on managing side effects.

This was eating up a lot of time until they began providing a handout at the time of prescription. It answered common questions and reduced extra visits. Patients only came back if the first-line suggestions weren’t working.

This also applies when your practice area shows up in the news. When breast implant–associated ALCL (BIA-ALCL) dominated the news, one cosmetic plastic surgery clinic hired a part-time staff member dedicated to patient education. By addressing concerns up front, the physician’s time was preserved for true medical issues.

Streamline How You Schedule Appointments

Changing how you schedule different types of visits – such as consults and procedures – can eliminate extra visits.

Take colonoscopies. If a patient clearly meets criteria as soon as the referral arrives, do they always need a separate consult? For many, the office can send prep instructions and meet them on procedure day. While not appropriate for every patient (for example, if their comorbidities affect sedation), for the right ones, this approach streamlines care and spares patients another trip.

Make Sure You Have the Necessary Supplies and Tools

Having the right tools in place lets you finish visits in one step instead of two.

In my own practice, I noticed a surge in referrals for lesions that only required cryotherapy. At the time, we didn’t have liquid nitrogen in the office, so every patient needed a return visit (how annoying!). This was an opportunity for a win-win solution.

Once we added liquid nitrogen, patients travelled less, my admin had more slots to book consults, and I eliminated 6–8 extra visits a week. That adds up.

What it Means for Patient Care

When you adapt your workflow to reflect real trends, everyone wins.

Patients feel more reassured, avoid unnecessary trips and often receive treatment sooner. You save time, reduce bottlenecks and keep your schedule organized.

Sometimes, small hinges open big doors – and making small adjustments in your practice can have big time-saving implications.
